How to Build a Society Management App Like MyGate

In large NCR societies — Gaur City, the Noida Expressway projects, Gurgaon's high-rises — the gate is the busiest place. MyGate-style apps replaced paper registers with a guard app that asks residents to approve every visitor, delivery and cab from their phone.

How MyGate actually works

Each society is set up with towers, flats and residents. At the gate, the guard enters a visitor or scans a pre-approved pass; the resident gets a notification (or call) to approve or deny. Frequent entries like maids, drivers and delivery staff get daily passes with attendance.

The management side handles maintenance invoices and online payment, complaints to the facility team, notices, polls, amenity booking (clubhouse, courts) and staff attendance. The business model usually charges societies per flat per month or earns from services sold to residents.

The hard parts founders underestimate

  1. Speed at the gate. If entering a visitor takes longer than a paper register, guards will skip it. The guard flow must be three taps and work with gloves, sunlight and bad networks.
  2. Unresponsive residents. Visitors cannot wait at the gate. Auto-calling, fallback to other family members and time-outs are essential.
  3. Billing variety. Every society calculates maintenance differently — per sq. ft., flat type, parking, water. The billing engine must be configurable, not hard-coded.
  4. Data ownership. RWAs increasingly ask who owns resident data. Clear exports and privacy controls help win committee approval.
  5. Onboarding thousands of residents. Bulk import from Excel, invite links and tower-wise onboarding drives save weeks of manual work.
